Interim Board of Elections director Steve Adams discussed the Anson County Board of Election’s latest list maintenance efforts at its monthly meeting on Jan. 8.

The board mailed out 3,278 voter cards on Dec. 17, 2012 to voters with no recorded contact for the last two general elections. If the board receives no response or the address is bad, the voters are moved from active to inactive status. At the time of the meeting, of the 3,278 voter cards mailed 169 were returned as undeliverable/no such number, 25 were returned the voter with updates, and two were returned by family members with notification of the voters’ death, according to Adams.

Additionally, 345 voters who were marked as inactive during the last list maintenance were removed from the voter rolls, according to Adams.

On Jan. 17, the board will run the NCOA (national change of address) which is done twice a year. The list, which comes from the state, will help clean up the records and re-update the records, Adams said.

The board also discussed destroying unnecessary records older than 22 months. Adams created a book that will contain a record of any files that are destroyed, including what record it was, when it was from, when it was destroyed, who shredded it, and if the board signed off on it. This record keeping is intended to keep the board accountable for each shredded record. The board unanimously agreed to the process.

The board then went into closed session to discuss a personnel matter. Upon resuming open session, the board voted unanimously to move Adams from interim to full director of the board and to move the part-time assistant director to full-time. The recommendation for the positions will be sent to the state board of elections for approval and an appointment letter for Adams will be sent.

The board’s next meeting will be Feb. 5 at 5 p.m. in the Elections Office at 101 South Greene St., Suite B-01 in the Anson County Government Building (Old BC Moore Building).
